MAIL SORTATION AND POSTAL OPTIMISATION

Optimail is a Harmonie Communication (HC) Suite software module that enables an organisation to perform postal processing to effectively prepare output for postal services offered in the UK market, i.e. OCR, and Mailmark postal services, typically for machinable Letters and Large Letters (up to 750g) including Sorted, and Unsorted mail items.

Optimail uses a common postal address index file format that enables the postal processing, including Royal Mail Postal Address File (PAF) address verification, barcode data preparation for Mailmark™, mail-sortation processing for Low Sort (Access 70) and High Sort (Access 1400) postal services including Mailmark™ e-Manifest uploads, real-time Downstream Access (DSA) pricing optimisation for National and Zonal postal services, and DSA Postal Profile reporting for National postal services.

HC Optimail maintains pricing for both Royal Mail Wholesale and Royal Mail Retail, as part of its pricing optimisation capabilities.


HC Optimail currently supports the following three postal providers:

  1. UK Mail (DSA)
  2. Whistl (DSA)
  3. Royal Mail (Retail)

Both UK Mail and Whistl are Downstream Access (DSA) postal providers, and use the Royal Mail (Wholesale) last mile network to deliver its postal services, as illustrated above.

By comparison, Royal Mail Retail will collect from the customer and deliver to its own Mail Centre and then onto its Delivery Centre, as illustrated above.

ADDRESS VERIFICATION

HC Optimail enables automatic address verification against Royal Mail’s PAF® file in preparation for postal services requiring either 90% (OCR and Mailmark™), or 95% (Responsible Advertising Mail Intermediate level) address quality.
Address verification include options for keeping or replacing the original address and/or postcode field(s) within an address record(s) that have been identified by PAF® as being non-compliant. A report is generated to identify which address records are PAF® non-compliant, and if the option to replace has been invoked then an additional report will list the original and modified address records.

SUPPORTED POSTAL SERVICES

Unsorted, Low Sort (Access 70) and High Sort (Access 1400) are supported by HC Optimail, with support for machinable / non-machinable postal services, as well as First and Second class postal services.
HC Optimail is able to distinguish between Bags or Trays for postal services that include Sortation, with the ability to include the weight and thickness for each item within the HC Opti-mail Input File. This capability enables HC Optimail to identify the correct number of items within a bag or tray, taking into account allowable maximum weights.
These postal services are valid within HC Optimail for both Royal Mail Retail and the supported DSA postal providers, as identified in the overview section.

MACHINABLE POSTAL SERVICES

The machinable postal services supported by HC Optimail include: (1) Optical Character Recognition (OCR); and (2) Mailmark™ (2D Barcode).
